2. Scope
This policy applies to personal data collected through the Website, email correspondence, telephone calls, in-person registration at our Heartbeat @ Bedok classroom, mentoring sessions, and corporate track engagements where we act as service provider. It does not apply to third-party websites linked from our pages, nor to personal data processed solely on behalf of corporate clients under separate data processing agreements. Where those agreements impose stricter standards, they prevail for the relevant engagement.
This policy does not cover aggregated or anonymised information that cannot reasonably identify an individual. It also does not describe practices of AI tool providers (such as OpenAI, Microsoft, or Anthropic) whose platforms participants may use during training under their own account terms.
3. Personal data we collect
3.1 Data you provide directly
When you submit our contact form, enrol in a checkpoint programme, register for mentoring, or communicate with us, we may collect:
- Identity and contact details: full name, email address, telephone number, company name, job title, and billing address where applicable;
- Enquiry content: subject selection (track course enquiry, checkpoint registration, corporate track training, or general inquiry), message body, preferred checkpoint or service type;
- Enrolment and attendance records: checkpoint completed, session dates attended, review gate status, facilitator notes relevant to progress documentation;
- Corporate administrative data: purchase order references, GST registration details, authorised signatory names for track training contracts;
- Feedback you voluntarily provide in surveys or post-checkpoint evaluations;
- PDPA consent records, including timestamp and channel, when you tick the consent checkbox on our contact form.
3.2 Data collected automatically
When you browse the Website, our servers and optional analytics tools may collect technical information including IP address, browser type and version, operating system, referring URL, pages viewed, timestamps, and device identifiers. Essential cookies required for site operation are set regardless of optional consent. Optional analytics and marketing cookies are used only if you accept them via our cookie banner. Consent preferences are stored locally for six months. See our Cookie Policy for details.
3.3 Classroom and mentoring context
During checkpoint sessions at Heartbeat @ Bedok, we may observe work you display on shared screens for facilitation purposes. We instruct participants not to display client-confidential or sensitive personal data unless expressly permitted. Mentoring sessions may involve review of deliverables you submit; those materials are handled according to the retention rules in Section 8.
3.4 Sensitive data
We do not intentionally collect sensitive personal data such as national identification numbers, financial account credentials, health information, or biometric data through the Website. Please do not submit such information via the contact form or classroom exercises. If you include sensitive data in free-text fields without our request, we will delete it where practicable unless retention is required by law.
4. Purposes of collection and use
We collect and use personal data for the following purposes, relying on consent, contractual necessity, legitimate interests, or legal obligation as appropriate under the PDPA:
- Responding to enquiries about checkpoint programmes, mentoring, and corporate track training;
- Processing enrolment, invoicing, and attendance administration;
- Delivering training, checkpoint review, capstone track map feedback, and related facilitation services;
- Communicating schedule changes, policy updates, and checkpoint materials;
- Improving our curriculum, classroom operations, and Website usability through aggregated analysis;
- Complying with legal obligations, including tax, accounting, and regulatory requests;
- Protecting our rights, participants, and staff in dispute resolution or fraud prevention;
- Sending marketing communications about track programmes where you have opted in or where permitted by law.
We do not use your personal data to provide licensed financial advice, wellness coaching, or investment recommendations. Training content may discuss commercial structures in an educational context; that is not personalised financial planning.
5. Disclosure to third parties
We may disclose personal data to:
- Service providers who assist with email delivery, payment processing, cloud hosting, analytics (when consented), and classroom logistics at Heartbeat @ Bedok;
- Professional advisers such as lawyers and accountants under confidentiality obligations;
- Government authorities when required by applicable law or court order;
- Corporate clients, where you attend training arranged by your employer and disclosure is necessary to confirm attendance or completion under the engagement contract.
We require processors to handle personal data only for specified purposes and to apply appropriate security measures. We do not sell personal data to data brokers.
6. International transfers
Our primary systems and classroom records are maintained in Singapore. Some service providers may process data in other countries. Where personal data is transferred outside Singapore, we take steps reasonably required under the PDPA to ensure the recipient provides a comparable standard of protection, including contractual clauses or verified certification where appropriate.
7. Security
We implement administrative, technical, and physical safeguards appropriate to the nature of the data we hold, including access controls for enrolment systems, secure handling of contact form submissions, and staff guidance on classroom display of participant materials. No method of transmission or storage is completely secure; we cannot guarantee absolute security but we review practices periodically and address identified vulnerabilities.
Participants remain responsible for securing their own devices, AI tool accounts, and client materials used during exercises. Do not share login credentials on classroom networks beyond what your exercise requires.
8. Retention
We retain personal data only as long as necessary for the purposes described in this policy, unless a longer period is required by law:
- Contact form enquiries: typically twenty-four months from last meaningful correspondence;
- Enrolment and billing records: seven years from the end of the financial year in which transactions occur, for tax and audit compliance;
- Attendance and checkpoint records: duration of enrolment plus twenty-four months for reference if you re-enrol or dispute completion status;
- Capstone track map copies submitted for review: twelve months after checkpoint completion unless you request earlier deletion and no dispute is pending;
- Cookie consent logs (where maintained server-side): six months aligned with banner storage period;
- Marketing opt-in records: until you withdraw consent plus a reasonable period to honour the withdrawal.
When retention periods expire, we delete or anonymise data unless legal hold requirements apply.
9. Your rights under the PDPA
Subject to exceptions under the PDPA, you may:
- Request access to personal data we hold about you;
- Request correction of inaccurate or incomplete personal data;
- Withdraw consent for processing that relies on consent, understanding that withdrawal may affect our ability to provide services;
- Request information about how your personal data has been used or disclosed in the past year where required by law.
To exercise these rights, email [email protected] with sufficient detail to identify your records. We may request verification of identity before responding. We aim to respond within thirty days unless complexity or volume requires extension, in which case we will notify you.
10. Children
Our checkpoint programmes are designed for working professionals and are not directed at individuals under eighteen years of age. We do not knowingly collect personal data from minors. If you believe a minor has submitted data through our Website, contact us and we will take steps to delete it promptly.
11. Marketing communications
We may send programme updates, cohort announcements, or service information by email where you have opted in during enrolment or contact, or where permitted under applicable law. Each marketing email includes an unsubscribe mechanism. Opting out of marketing does not affect transactional messages related to active enrolments or enquiries you initiated.
12. Changes to this policy
We may update this Privacy Policy to reflect legal, operational, or curriculum changes. Material updates will be posted on this page with a revised effective date. Where changes significantly affect how we use personal data already collected, we will provide additional notice where practicable. Continued use of the Website after updates constitutes acknowledgement of the revised policy, except where further consent is required by law.
